Manage WPForms Leads in LeadCentre
LeadCentre works with WPForms through the WPForms Webhooks addon, which needs an Elite licence. You add a webhook to the form, type a key for each field, and WPForms posts every entry to your LeadCentre URL as JSON. Each entry becomes a lead with a push notification to your team, while WPForms keeps its own entry and sends its notification emails as usual.
Via Webhook: The platform posts each lead to your LeadCentre webhook URL.
- You choose every key in the Request Body, so email, phone and postcode arrive under names Smart Match recognises.
- Smart Tags such as {page_url} and {form_name} record which page and which form each lead came from.
- A phone alert for every entry, then statuses, follow-ups and won values for each enquiry.
What this does
WPForms stores entries on its paid licences and sends notification emails. The Webhooks addon adds a Webhooks section to each form's settings, where each webhook has its own Request URL, method, format and body. Point one at LeadCentre, and every entry becomes a lead.
Key and value pairs
The Request Body is a list of pairs. On the left you type a key, which is the name LeadCentre sees. On the right you choose a form field, or Add Custom Value to enter a Smart Tag. Short keys such as name, email and phone are recognised by Smart Match, so most of the matching is a matter of confirming its suggestions.
Because the key is what LeadCentre reads, you can rename a field's label in the form builder and nothing changes on the LeadCentre side.
Fields with several answers
WPForms joins several values with two pipe characters, such as Roof||Gutters, for Checkboxes, Dropdowns that allow more than one choice and Address fields. They reach LeadCentre as one value, written just like that. If one question decides the type of job, a single-choice field reads better as the Enquiry type.
Older entries
The webhook sends new entries. For entries from before you set it up, export them from WPForms as a CSV file, upload it in the LeadCentre portal and match its columns, and the rows become leads.
What happens when someone submits your form?
Step 1
A visitor submits your form
WPForms saves the entry and sends its notification emails.
Step 2
The webhook sends your keys
WPForms posts the Request Body you set up to your LeadCentre URL as JSON.
Step 3
LeadCentre creates the lead
Your saved field matching fills it in, with the key's name or your form name as the source.
Step 4
Your team is alerted
The people switched on for New lead alerts get a push notification on their phones.
Step 5
You reply and follow up
Instant Replies can email the enquirer and Respond can text them. You call, set the status and add follow-ups.
What you can do with WPForms leads
Once an entry is a lead, this is what you can do with it, and where each part is included.
| What you can do | Included with |
|---|---|
| Push notification to your team for each new lead | Every plan |
| Call, Text, WhatsApp and Email buttons with your own templates | Every plan |
| Statuses from New to Won or Lost, with the job's value when you win | Every plan |
| Follow-ups with a date, time, note and reminder | Every plan |
| Assigning leads to your team, folders and archiving | Every plan |
| Custom lead fields for extra answers | Every plan |
| Instant Replies: an automatic email to the person who filled in the form | Every plan |
| Automatic SMS replies from a dedicated UK business number | Respond add-on |
| Two-way texting, and calls forwarded to your phone | Respond add-on |
| Lead Rescue: automated follow-ups for leads at New or Contacted who haven't replied | Respond add-on |
| AI replies, off until you switch them on | Respond add-on |
Two different messages. The push notification tells your team a lead has arrived. Instant Replies and Respond's texts go to the person who filled in the form, so they know you've got it. Instant Replies sends at most one email a day to the same address, and Respond's texts reach anyone who gave a mobile number.
How to connect WPForms to LeadCentre
You'll need:
- WPForms with an Elite licence. WPForms' Webhooks guide says the addon needs Elite. Install and activate the Webhooks addon once your licence is verified.
- Access to edit the form in the WPForms form builder.
- A LeadCentre login with the Admin role, to create a key and match the fields.
WPForms' Smart Tags guide lists the tags used below for the page address, form name and entry ID.
- 1
Create a key
In LeadCentre, open Settings > Connections. Under "Add another key", type a name, such as Website quote form, and press "Create". It becomes the lead's source unless you send one. Press "Copy" while the URL is on screen, as that's the only time you'll see it.
- 2
Open the form's webhook settings
In the WPForms form builder, go to Settings, then Webhooks, and turn on Enable Webhooks. Use the pencil icon to name the webhook, for example LeadCentre.
- 3
Point it at LeadCentre
Paste your URL into Request URL, whole. Set Request Method to POST and Request Format to JSON. Leave Secret blank and add no Request Headers, as LeadCentre reads the key from the URL.
- 4
Build the Request Body
Add a row for each field: type a key on the left, such as name, email, phone, postcode, service or message, and choose the form field on the right. For the page address, add the key landing_page_url, choose Add Custom Value and enter
{page_url}. Add lead_source with{form_name}if several forms share this key, and id with{entry_id}to stop duplicates. - 5
Add conditional logic if you need it
To send only some entries, turn on Enable Conditional Logic at the bottom of the webhook settings and add a rule, such as sending only when Service isn't Careers. Save the form before you leave the builder.
- 6
Listen and test
In LeadCentre, follow "Next: test and match fields" and press "Listen for test data", which lasts 15 minutes. Submit the live form with every field filled in, because empty values don't appear on the matching screen. Your keys should appear under "2. Match the fields" a few seconds later.
- 7
Match, save and stop listening
As you chose the keys, Smart Match should suggest most matches. Confirm them, choose a field for the rest or leave them on Do not use, then press "Save field matching". Press "Stop listening", send a real test entry and check it appears in your Leads list.
What form data can you send?
You type every key, so these are the ones we'd use. Smart Match recognises them, and anything else can go into a custom field, created on the matching screen.
Tracking data needs a Hidden Field. WPForms reads a value from the page's address with the {query_var} Smart Tag. Add a Hidden Field for each value you want and set its Default Value to, for example, {query_var key="utm_source"}. Then add it to the Request Body under the same name, such as utm_source, utm_campaign or gclid.
Fields with those exact names are kept on the lead without being matched, and show under Attribution Details in the portal. Test with ?utm_source=test on the page's address and check the entry, because page caching can stop a default value filling in.
| Field sent | Usually matched to |
|---|---|
| name (a Name field) | Full name |
| phone | Phone (mobile or landline) |
| postcode | Postcode |
| service | Enquiry type |
| message | Enquiry / Message |
| consent (a Checkbox field) | A custom field, such as Marketing consent |
| landing_page_url, from {page_url} | Landing page URL (kept automatically) |
| lead_source, from {form_name} | Lead source |
| id, from {entry_id} | Unique ID (stops duplicates) |
| utm_source, utm_campaign, gclid (Hidden Fields) | Kept automatically |
Managing enquiries beyond email notifications
WPForms already does two useful things with each submission. Its notifications, under Settings, then Notifications, email the site admin by default, and you can add more. On a paid licence, entries are kept under WPForms, then Entries, where you can star them, mark them read, add notes, export them as CSV and resend notifications.
Entries are a good record, and they live in WordPress. LeadCentre is where you and your team act on them:
- an alert on the phone of whoever is on call
- one tap to call, text, WhatsApp or email
- a status that shows whether you've quoted, booked or won
- a reminder when a follow-up is due
- the value of each job you win
Say a plumber is under a sink all morning. WPForms emails the office, and the entry sits in WordPress. With LeadCentre, the plumber gets the alert, sees the message on the lead, and taps Call between jobs without logging in to the website.
Keep the admin notification on as your backup. If a notification already sends the enquirer a confirmation, choose between it and Instant Replies, so they don't get two emails.
For agencies managing client enquiries
For an agency the setup is the same on every client site, with one difference: each site's webhook points at that client's own LeadCentre account. Each account has its own webhook keys, so one client's entries can't reach another's leads.
- Snapshot the first client. Set up the key and field matching once and save it as a snapshot. A new client started from it gets the same key names and matching, with its own URL to paste into their form's Request URL. Use the same Request Body keys on every site, and the saved matching fits.
- Alerts go to the client's team, to the people switched on for New lead alerts on their Team page. Your staff open the client's account when they want to check on it.
- Clients see only their own account. You choose which features each client's people can use, including Connections, Team, Instant Replies and Custom Fields.
- Report across clients. Cross-client reporting, on both agency plans, shows leads, won jobs, win rate and won value, client by client.
- Agency Users see and manage only the clients assigned to them.

Common problems
Nothing reached LeadCentre from my test
In WPForms, go to Tools, then Logs, turn on Enable Logs and tick the Providers and Errors log types, as WPForms' guide suggests. Submit again, and the log shows LeadCentre's response. A 401 means the URL is incomplete or was replaced. On a 200, check the right key's page is open and listening hadn't run out. Turn logging off afterwards, as logs can hold personal details.
Checkbox answers arrive as Roof||Gutters
That's how WPForms joins several values, and they arrive as one. Match that key to a custom field, or use a single-choice field for the question you match to Enquiry type.
Posts show "No name, phone or email" under Recent activity
None of the matched keys held a name, phone or email, which a lead needs. Check the Request Body has rows for them, and that the webhook's conditional logic isn't sending entries from a form without them.
A field stopped arriving after I edited the form
Each Request Body row points at one form field. If you deleted a field and added a new one, choose the new field in that row and save the form. Keep the key the same, and LeadCentre's matching carries on as before.
Hidden Fields for campaign tags are empty
{query_var} only fills when the page's address carries that parameter, and page caching can serve a copy without it. Visit the form with ?utm_source=test, submit, and check the entry. If it's empty, leave that page out of your caching plugin's cache.
Entries show "Waiting for field matching"
The webhook was live before anything was matched on that key, so LeadCentre is holding those entries. Save your matching and they become leads, with a banner saying how many were added.
Questions about this connection
How do I connect WPForms to LeadCentre?
Install the WPForms Webhooks addon, then in the form builder go to Settings, then Webhooks. Paste your LeadCentre URL, choose POST and JSON, and add a key for each field in the Request Body. Send a test entry while LeadCentre listens, match the keys, and new entries become leads.
Which WPForms licence do I need?
Elite. WPForms' own guide says the Webhooks addon needs an Elite licence. LeadCentre works with it on any of its plans.
Can I get WPForms lead notifications on my phone?
Yes. With the LeadCentre app on iPhone or Android, each new entry sends a push notification to the people switched on for New lead alerts. An Admin chooses who's switched on, person by person, on the Team page.
Will WPForms still send its notification emails?
Yes. The webhook is a separate part of the form's settings, and notifications carry on. Keep the admin notification as a backup.
Can people who fill in my WPForms form get an automatic text?
Yes, with the Respond add-on. New leads who gave a mobile number get an automatic SMS reply from a dedicated UK business number, and Lead Rescue follows up those still at New or Contacted who haven't replied. Instant Replies sends an automatic email on every plan.
Can I bring in WPForms entries from before the webhook?
Yes. Export them from WPForms as a CSV file, upload it in the LeadCentre portal and match its columns to LeadCentre fields. The rows become leads.
Can an agency connect WPForms on several client sites?
Yes. Each client account has its own webhook URL, so each site's form posts to its own client. Save your first client as a snapshot to reuse its key names and matching. See agency accounts.
