Send Leads to LeadCentre With Webhooks by Zapier

You won't find LeadCentre in Zapier's app list, as there's no LeadCentre app. Instead, it works by adding a Webhooks by Zapier step to your Zap, which posts each lead to your LeadCentre URL. Any tool that can start a Zap can then send leads to LeadCentre.

Via Zapier/Make: Connect it through a Zapier or Make account of your own.

What This Does

A Zap has a trigger and one or more actions. The trigger is the tool where your leads start, such as Jotform, TikTok Lead Generation, LinkedIn Lead Gen Forms, a chat widget or a booking tool. The action is Webhooks by Zapier, set to POST, pointed at your LeadCentre URL. LeadCentre then matches the fields and creates a lead.

What you need

  • A paid Zapier plan. Zapier's guide says Webhooks by Zapier is on Professional, Team and Enterprise, and isn't on Free. Your Zapier account and its costs are separate from LeadCentre, and each run uses part of your Zapier allowance.
  • A trigger for your tool. Search Zapier's app list to check your tool has one, and check whether that app has plan limits of its own.
  • An Admin login on your LeadCentre account, so you can create a key and match fields.

Why fill in Data yourself

If you leave the Data section blank, Zapier sends every field from the previous step. That can mean dozens of rows to deal with on LeadCentre's matching screen, and new ones whenever the trigger changes. A short list of named fields is easier to look after, and those names stay the same if you switch trigger later.

Where the key goes

Leave the key in the URL, as LeadCentre gives it to you. Zapier's guide suggests putting URL parameters in the Data section, but that doesn't work for this one: Data goes in the body, and LeadCentre only looks for the key in the URL or an x-api-key header. If you'd rather not keep it in the URL, remove the ?key= part and add a Header named x-api-key with the key as its value.

Useful For

  • Businesses using Jotform, TikTok or LinkedIn lead forms, or any tool LeadCentre can't take a webhook from directly
  • Owners already paying for Zapier who are comfortable editing a Zap
  • Agencies with client lead sources that vary from one account to the next
  • Operations people who want to filter or tidy leads, for example with a Zapier filter, before they reach LeadCentre

How Leads Flow Into LeadCentre

  1. Step 1

A lead appears in your other tool

A form, ad platform, chat widget or booking tool starts your Zap.

  2. Step 2

    Zapier runs your Zap

How soon depends on whether that trigger is instant or checks on a schedule, and on your Zapier plan.

  3. Step 3

    Webhooks by Zapier posts it

The Data rows you set up go to your LeadCentre URL as JSON.

  4. Step 4

    LeadCentre creates the lead

Your saved matching fills in the fields, and a push notification goes to the app.

How to Set It Up

  1. 1

    Create a key in LeadCentre

Go to Settings > Connections. Under "Add another key", type the name of the source, such as Jotform, and press "Create". Press "Copy" and keep the URL safe, as it's only shown once. The key's name becomes the lead's source unless you send your own.

  2. 2

    Set up your trigger

In Zapier, create a Zap, choose your source app and event, connect your account and test the trigger, so you have a sample to work with.

  3. 3

    Add the POST step

Press the plus icon to add an action, then choose Webhooks by Zapier with POST as the event. Set Payload Type to JSON. Paste your LeadCentre URL into URL, whole. Leave any File option empty, as LeadCentre doesn't accept files.

  4. 4

    Fill in Data

Add one row per field, with a name on the left and the value from your trigger on the right. Use the names in the table further down, so Smart Match can recognise them. Avoid double underscores in names, as Zapier uses them to build nested objects.

  5. 5

    Listen, then test the step

In LeadCentre, follow "Next: test and match fields" and press "Listen for test data". Back in Zapier, test the POST step. The response should show ok as true and results as test, and the fields appear under "2. Match the fields" a few seconds later.

  6. 6

    Match the fields

Check Smart Match's suggestions, choose a field for each row or leave it on Do not use, then press "Save field matching".

  7. 7

    Stop listening and publish

Press "Stop listening", because anything sent while listening counts as test data, including a real lead. Publish the Zap and turn it on, then create a real test lead in your source tool and check it appears in your Leads list.

Supported Fields

These are the names we'd type on the left of Zapier's Data section. Smart Match recognises them, and they stay the same whichever tool starts the Zap. Anything else can go into a custom field, which you can create on the matching screen.

Common Problems

My test data isn't showing in LeadCentre

Press "Listen for test data" first, as it stops after 15 minutes. Test the POST step, because testing the trigger doesn't reach LeadCentre. Read the response in Zapier: a 401 means a wrong or incomplete URL, and a 200 means it arrived, so check you have the right key's page open.

Zapier shows a 401 error

LeadCentre can't find the key. Check the URL still has ?key= and everything after it, that you didn't move the key into Data and that the URL hasn't been replaced since you copied it. As another option, take ?key= off the URL and send the key in an x-api-key header.

A lead shows "Waiting for field matching"

It was sent before anything was matched on that key, so it's being held. Match the fields and press "Save field matching". The banner tells you how many waiting leads were added.

The matching screen has dozens of fields

Your Data section is probably blank, so Zapier is sending everything from the trigger. Fill in Data with just the fields you want, and retest. Set any old rows to Do not use, which also stops them being flagged again.

A real lead didn't arrive and the run shows test in the response

The key was listening, or your URL has &test=1 on it. That lead was treated as test data and won't become a lead. Press "Stop listening" or remove test=1. Then find the lead in your source tool so you can contact them, and replay the run from Zap history if Zapier offers that for it.

The Zap has turned itself off

Zapier can turn a Zap off after errors. Check Zap history for the response. Repeated 401s usually mean the URL was replaced, so paste in the new one and turn the Zap back on.

I lost the webhook URL

It's shown once, and LeadCentre only keeps a scrambled copy, so it can't be looked up. Open the key and press "Replace this URL", or "Get a URL to copy" if it has never been used. Paste the new one into your POST step and publish. Your field matching stays.

I need to rotate the key

With your Zap open, press "Replace this URL", as the old one stops at once. Paste the new one into every Zap using that key, and publish. Runs in the gap get a 401 and show in Zap history, so replay them once you've updated it.

Questions About This Connection

Is there a LeadCentre app on Zapier?

No. It works through Webhooks by Zapier, posting to your LeadCentre URL. You won't find a LeadCentre trigger or action in Zapier, and it can't pull data out of LeadCentre.

Can I use Zapier's Free plan?

Not for this. Zapier's guide says Webhooks by Zapier is on Professional, Team and Enterprise. If you want a free route, Make has a free plan, or your source tool may be able to send a webhook itself.

Should I use JSON or Form as the payload type?

LeadCentre reads both. We suggest JSON. Don't use a File option: LeadCentre doesn't accept files.

How do I stop a replayed run creating a second lead?

Send your source tool's ID for the lead as a field called id, and match it to Unique ID. A repeat is then skipped. Make sure the ID is unique across your account, including other keys.
