Manage Fluent Forms Leads in LeadCentre

LeadCentre works with Fluent Forms through the WebHook integration in Fluent Forms Pro. You switch on the Webhooks module, add a WebHook feed to your form and paste your LeadCentre URL, and each entry is posted as JSON. Each one becomes a lead with a push notification to your team, while Fluent Forms keeps its entry and sends its emails as usual.

Via Webhook: The platform posts each lead to your LeadCentre webhook URL.

  • Fields arrive under their Name Attributes, which you can set to short names Smart Match recognises.
  • Conditional Logics on the feed decide which entries become leads.
  • Phone alerts, statuses and follow-ups for every Fluent Forms entry, on any LeadCentre plan.

What this does

Fluent Forms saves each submission as an entry and sends email notifications, both in the free plugin. Fluent Forms Pro adds integrations, including WebHook. A WebHook feed has a Request URL, method, format and body, and runs on every entry or only when its conditions are met.

Name Attributes are the field names

Every Fluent Forms field has a Name Attribute, the HTML name of its input. When a feed sends every field, those are the names LeadCentre sees. Fluent Forms' guide says you don't normally need to change them, but for LeadCentre it's worth a look: Smart Match suggests a match for a field named postcode, while one named input_text_1 is easier to match once you've renamed it.

Fields with more than one part arrive as separate values. A Name field with first and last name boxes, for example, arrives as names.first_name and names.last_name, which Smart Match reads as First name and Last name.

Every field, or a few

Leave the feed's Request Body unset and it sends every field. You can also pick the fields you want, which keeps out anything you'd rather not pass on, such as a long terms box. Sending everything is the least work, and anything you don't need can be set to Do not use on the matching screen.

What happens when someone submits your form?

  1. Step 1

    Someone submits your form

Fluent Forms saves the entry and sends its email notifications.

  2. Step 2

    The WebHook feed runs

If its Conditional Logics allow it, the feed posts the entry to your LeadCentre URL as JSON.

  3. Step 3

    The entry becomes a lead

Your saved field matching fills in the lead, with the key's name as its source.

  4. Step 4

    Your team is notified

A push goes to the people switched on for New lead alerts on the Team page.

  5. Step 5

    The enquirer hears back

Instant Replies emails them, and with Respond they can get a text. You call, set a status and add follow-ups.

What you can do with Fluent Forms leads

For whoever takes the calls (every plan)

  • A push notification on iPhone or Android when a new lead arrives, if they're switched on for New lead alerts.
  • Call, Text, WhatsApp and Email buttons on the lead, with your template wording and the enquirer's details filled in.
  • A status picker, from New through Contacted, Quoted and Booked to Won or Lost.
  • Follow-ups with a date, time and note, and a reminder when one is due.

For the owner or office (every plan)

  • The Home screen: leads, won jobs, win rate and won value over a chosen time frame, and the pipeline by status.
  • Assignment, so each lead has someone responsible for it, plus folders and archiving.
  • Custom lead fields for the extra answers on your form.
  • Instant Replies, an automatic email to each new enquirer, with different wording in and out of business hours.

With the Respond add-on

  • Automatic SMS replies to new leads who gave a mobile number, from a dedicated UK business number.
  • Two-way texting in the Messages tab, and calls forwarded to your phone.
  • Lead Rescue: automated follow-ups for leads still at New or Contacted who haven't replied, which stop once a lead moves on.
  • AI conversations, off until you switch them on. Assist drafts replies for you to send, and Autopilot replies by itself.

A new lead alert tells your team. Instant Replies and Respond reply to the person who filled in the form.

How to connect Fluent Forms to LeadCentre

You'll need:

  • Fluent Forms Pro. Fluent Forms' webhook guide says the WebHook integration requires Pro.
  • Access to edit the form in Fluent Forms.
  • A LeadCentre login with the Admin role, to create a key and match the fields.

Fluent Forms' list of smart codes covers the default values used below for tracking.

  1. 1

    Create a key

Under "Add another key" in Settings > Connections, type a name such as Fluent quote form and press "Create". The name becomes the lead's source, so use something you'll recognise. Press "Copy" and paste the URL somewhere safe, as LeadCentre shows it only this once.

  2. 2

    Switch on the Webhooks module

In Fluent Forms, go to Integrations, search for Webhooks and turn on its toggle. You only need to do this once on each site.

  3. 3

    Check your Name Attributes

Open the form in the editor and look at each field's Name Attribute. Short names such as email, phone, postcode, service and message are the ones Smart Match suggests. Change any that aren't clear, then save the form.

  4. 4

    Add the WebHook feed

Open the form's Settings, choose WebHook under Settings & Integrations and press + Add New. Name it, paste your URL into Request URL, set Request Method to POST and Request Format to JSON.

  5. 5

    Choose what to send

Leave Request Body unset to send every field, or pick the ones you want. Leave Request Header off, as the key is in the URL. Turn on Conditional Logics only if some entries shouldn't become leads. Press Save Feed.

  6. 6

    Listen and submit a test

In LeadCentre, follow "Next: test and match fields" and press "Listen for test data", which lasts 15 minutes. Submit the live form with every field filled in. Your fields should appear under "2. Match the fields" a few seconds later.

  7. 7

    Match, save and stop listening

Check Smart Match's suggestions, choose a field for each row you want or leave it on Do not use, then press "Save field matching". Press "Stop listening", because a real enquiry sent while listening counts as test data. Send one more entry and check it appears in your Leads list.

What form data can you send?

When the feed sends every field, each one arrives under its Name Attribute. The names below are the ones we'd set, and Smart Match recognises them.

Tracking data comes from Hidden fields. Fluent Forms fills a field's Default Value with smart codes. Add a Hidden field for each value you want, set its Name Attribute to the exact name, such as utm_source or gclid, and set its Default Value to {get.utm_source}, which reads that parameter from the page's address. {embed_post.permalink} gives the page the form is on, for a field named landing_page_url, and {http_referer} the page before it, for referrer_url.

Fields with these exact names are kept on the lead without being matched, and show under Attribution Details in the portal.

As a Hidden field's Name Attribute is its name on the page, LeadCentre's attribution script can fill those fields instead, and it remembers a campaign across pages once the visitor agrees to cookies. Use the script or the {get.} codes on a form, not both.

Managing enquiries beyond email notifications

Fluent Forms keeps every entry in WordPress, in the free plugin as well as Pro, and you can filter entries and export them. Its email notifications tell you about each submission and can send the person a confirmation.

A list of entries is a record. Running enquiries as a team takes a little more: knowing who's calling back, who's waiting on a quote and which jobs you won. LeadCentre adds that:

  • Phone alerts for the people on call.
  • Statuses that show where every enquiry stands.
  • Follow-up reminders with Overdue, Today and Upcoming tabs.
  • Won values and a win rate on the Home screen.

Say a cleaning firm gets twenty entries a week from its quote form. In Fluent Forms they're twenty rows. In LeadCentre, the office can see that twelve are Contacted, five are Quoted and three were won, and what each of those jobs was worth.

Keep your Fluent Forms notification on as a backup. If it also sends the enquirer a confirmation, choose between it and Instant Replies, so nobody gets two emails.

For agencies managing client enquiries

Each client's Fluent Forms feed posts to that client's own LeadCentre account. Every account has its own webhook keys, so one client's entries can't arrive in another's leads.

  • Same form, same names. If you use one quote form across clients, keep the Name Attributes the same. Save your first client as a snapshot, and its key names and field matching carry over to each client you start from it. Paste each client's own URL into their feed.
  • One client, two sites. Give each site its own key, so leads show which site they came from.
  • Alerts go to the right people: whoever is switched on for New lead alerts on that client's Team page, not your agency staff.
  • Clients only see their own account, and an Agency Admin chooses which features their people can use, such as Connections and Custom Fields.
  • Agency Users reach only their assigned clients. Agency Admins can open any client.
  • Respond per client. Switch it on for the clients who want texting. The agency pays for each one, and the client sees no price or bill.

Pricing and requirements

What you need for this connection. Prices for each plan and the Respond add-on are on the pricing page.

LeadCentre plan

Any plan. Webhooks, field matching, custom fields and Instant Replies are on every plan.

Respond add-on

Optional, paid per account. Adds a dedicated UK business number, two-way SMS, call forwarding, automatic text replies to new leads and missed calls, Lead Rescue and AI conversations. About Respond.

Fluent Forms Pro

Needed for the WebHook integration. The free plugin's entries and emails carry on as they are.

Webhooks module

Switched on once under Integrations in Fluent Forms.

Messaging usage

Respond's allowances are monthly. If one runs out, the account is told and can buy credits for extra usage. Entries still arrive as leads.

Common problems

WebHook isn't in my form's settings

The Webhooks module is off, or Fluent Forms Pro isn't active. Go to Integrations, search for Webhooks and turn it on, then reopen the form's Settings & Integrations.

Nothing arrived from my test entry

Check the feed is saved and its Conditional Logics match what you submitted. Request Format should be JSON or FORM, the two LeadCentre reads. Then check LeadCentre: listening stops after 15 minutes, and each key has its own page. If it still doesn't arrive, a security plugin or your host may be blocking outgoing requests, so ask them to allow hooks.leadcentre.com.

Field names look like input_text_1

Those are Name Attributes nobody changed. Rename them in the field settings, save, send another test while listening and match the new names. Set the old rows to Do not use.

Posts show "No name, phone or email" under Recent activity

None of the matched fields held a name, phone or email. If you picked fields for the Request Body, check those are included. Match the right field and save, and LeadCentre retries those posts.

Hidden fields for campaign tags are empty

{get.utm_source} only fills when the page's address carries that parameter, and page caching can serve a copy without it. Visit the form with ?utm_source=test, submit and check the entry. If it's empty, leave the page out of your cache or use LeadCentre's attribution script.

Entries show "Waiting for field matching"

The feed was live before anything was matched on that key, so LeadCentre held those entries. Save your matching and they become leads, and a banner shows how many were added.

Questions about this connection

How do I connect Fluent Forms to LeadCentre?

Turn on the Webhooks module under Integrations, then add a WebHook feed in your form's Settings & Integrations. Paste your LeadCentre URL, choose POST and JSON, and save the feed. Send a test while LeadCentre listens, match the fields once, and later entries become leads.

Do I need Fluent Forms Pro?

Yes, for the webhook. Fluent Forms' guide says WebHook requires Pro. The free plugin's entries and email notifications carry on either way.

Can I get Fluent Forms lead notifications on my phone?

Yes. Install the LeadCentre app on iPhone or Android. Each new lead sends a push notification to the people switched on for New lead alerts on the Team page.

Can I choose which Fluent Forms entries become leads?

Yes. Turn on Conditional Logics in the WebHook feed, and only entries that meet your rules are sent. You can also send different entries to different LeadCentre keys with two feeds.

Can I send SMS replies to Fluent Forms leads?

Yes, with the Respond add-on. New leads who gave a mobile number get an automatic text from a dedicated UK business number, and you can text back and forth from the lead. Instant Replies sends an automatic email on every plan.

What about entries from before I connected?

Export them from Fluent Forms as a CSV file, upload it in the LeadCentre portal and match its columns to LeadCentre fields. The rows become leads.

Can an agency manage Fluent Forms leads for several clients?

Yes. Each client has its own LeadCentre account and webhook URL, so each site's feed posts to its own client, and the client's team works their own leads. See agency accounts.
