Manage Jotform Submissions as Leads in LeadCentre

LeadCentre works with Jotform through Zapier or Make. A Zap using Jotform's New Submission trigger, or a Make scenario using Watch for Submissions, collects each new submission and posts the fields you choose to your LeadCentre webhook URL. The submission becomes a lead, a push notification goes to your team, and the lead has Call, Text, WhatsApp and Email buttons.

Via Zapier/Make: Connect it through a Zapier or Make account of your own.

  • A push notification for each Jotform submission, sent to the people you choose on the Team page
  • A status on every submission, from New to Won, so the office can see what's been dealt with
  • Follow-up reminders and won job values, alongside your Jotform notification emails

What this does

Jotform collects the submission. A Zap or Make scenario passes it to your LeadCentre webhook URL as JSON, with each field under a name you chose, and LeadCentre turns it into a lead from your saved matching.

Say a plumbing firm takes boiler repair requests through a Jotform on its website, and the notification emails go to a shared inbox. With the form connected, each request also reaches the engineers switched on for New lead alerts as a push notification, with a Call button on the lead and a status the office can see.

Why a Zap or scenario, rather than Jotform's own webhook

Jotform's built-in Webhooks integration sends each submission as multipart form data, and Jotform's support team says that can't be switched to JSON from within Jotform. Your LeadCentre URL takes JSON or URL-encoded posts. A Zap or scenario does the conversion: it reads each submission and posts it as JSON, with field names you choose.

What happens when someone submits your Jotform?

  1. Step 1

    A visitor submits your form

Jotform saves the submission in your Inbox and sends any notification email you've set up.

  2. Step 2

    Zapier or Make collects it

The New Submission trigger, or Watch for Submissions in Make, picks the submission up.

  3. Step 3

It's posted to LeadCentre as JSON

Webhooks by Zapier or Make's HTTP module sends your named fields to your LeadCentre URL.

  4. Step 4

    Your team is alerted

LeadCentre fills in the lead from your saved matching, and a push notification goes to the people switched on for New lead alerts.

What you can do with Jotform leads

On every plan

  • Push notifications to the people switched on for New lead alerts on the Team page. Everyone starts switched on, and an Admin can change it per person.
  • Call, Text, WhatsApp and Email from the lead. The message buttons open your own templates, with placeholders such as {first_name} and {service} filled in, and separate wording for during and outside business hours.
  • Statuses: New, Contacted, Quoted, Booked, Won and Lost. Marking Won asks for the job value. Marking Won or Lost offers to cancel any follow-ups still open.
  • Follow-ups with a date, time and optional note, sorted into Overdue, Today and Upcoming, with a reminder to the person assigned.
  • Assignment and folders. Give a lead to one person, file it in a folder, or archive it when it's done.
  • Instant Replies, an automatic email to the person who submitted, with separate wording during and outside business hours. One address gets at most one reply per account per day.

With the Respond add-on

  • Automatic SMS replies to new leads, sent from your dedicated UK business number.
  • Two-way SMS in the app's Messages tab, with calls to your number forwarded to your phone.
  • Lead Rescue, automated follow-ups to leads still at New or Contacted who haven't replied, which stop once the lead moves on.
  • AI lead conversations, switched on when you want them. Assist drafts replies for a person to send, and Autopilot replies itself from your Knowledge Base.

Jotform's notification email and LeadCentre's push both tell your team. Jotform's autoresponder, Instant Replies and Respond's automatic SMS go to the person who filled in the form, so switch on only the ones you want them to receive. Respond on the pricing page.

How to connect Jotform to LeadCentre

What you need:

  • Jotform: the free Starter plan or any paid plan, and a published form, as Zapier's Jotform guide asks. Accounts on a branded domain, such as yourcompany.jotform.com, and sub-user accounts use Zapier's separate Jotform Enterprise app. Jotform also sets daily API limits by plan.
  • Zapier: a plan that includes Webhooks by Zapier, which Zapier's webhooks guide lists as Professional, Team and Enterprise. You can also start from Jotform's Form Builder, under Settings, then Integrations, then Zapier, as Jotform's Zapier guide shows.
  • Or Make: Make's Jotform app connects with a Jotform API key, which you create in Jotform under Settings, then API. Jotform's Make guide recommends giving the key Full Access.
  • LeadCentre: a login with the Admin role on the account the leads belong to.
  1. 1

    Create a key in LeadCentre

In LeadCentre, go to Settings > Connections. Under "Add another key", type a name such as Jotform booking form and press "Create". Press "Copy" straight away, as the URL is only shown once. The key's name becomes the lead's source unless the Zap sends lead_source, so one key per form keeps your sources clear.

  2. 2

    Start a Zap with Jotform

In Zapier, create a Zap with Jotform as the trigger app and New Submission as the event, which Zapier lists as instant. Connect your Jotform account, choose the form, and test the trigger to pull in a recent submission as your sample.

  3. 3

    Add the POST step

Add an action and choose Webhooks by Zapier with POST as the event. Set Payload Type to JSON and paste your LeadCentre URL into URL, whole, including the ?key= part.

  4. 4

    Fill in Data

Add a row for each field you want, with a name from the table further down on the left and the value from the sample on the right. If the sample splits a name or address into parts, add a row for each part. For a file upload, send the file's link as text, and leave Zapier's File option empty.

  5. 5

    Listen, then test the step

In LeadCentre, follow "Next: test and match fields" and press "Listen for test data". It lasts 15 minutes, and the page updates itself. Test the POST step in Zapier: the response should show ok as true and results as test, and your fields appear under "2. Match the fields".

  6. 6

    Match and save

Check Smart Match's suggestions, choose a field for each row you want to keep, or leave it on Do not use. If you sent Jotform's submission ID as id, match it to Unique ID to stop duplicates. Press "Save field matching".

  7. 7

    Stop listening and publish

Press "Stop listening", or LeadCentre will treat your next real submission as test data. Publish the Zap, submit your form once with every field filled in, and check it reaches your Leads list and you get the alert.

  8. 8

    If you use Make

Start a scenario with the Jotform app's Watch for Submissions module. Create the webhook when asked, then the connection with your Jotform API key, and choose the team, if any, and the form. Add the HTTP app's Make a request module, with your URL, Method set to POST, the body content type set to application/JSON and the same field names. A multipart/form-data body is refused with a 415. Listen in LeadCentre, press Run once and submit the form, then match, stop listening and switch the scenario on.

What form data can you send?

You choose these names in Zapier's Data section, or Make's request body, and pick each value from your form's sample. Smart Match recognises the names below.

Match by hand anything that isn't in the table, such as a boiler make or a "How did you hear about us?" question: pick a LeadCentre field for it, or type a new custom field name on the matching screen. If you use one key for several forms, keep the names the same on each, and the matching you saved works for all of them.

If your form passes campaign values in hidden fields, such as utm_source and utm_campaign, send them under those exact names. LeadCentre keeps them on the lead without matching, under Attribution Details in the portal. If the sample includes Jotform's submission ID, send it as id and match it to Unique ID, so a replayed run can't add the lead twice.

Managing submissions beyond Jotform Inbox and email notifications

Jotform is good at keeping submissions. Jotform Inbox lets you search and filter them, tag them, comment on them, email the person, share the inbox with colleagues and download entries. A notification email goes to you or your chosen recipients each time someone submits, and an autoresponder can confirm receipt to the person.

Once a submission is a sales enquiry, LeadCentre takes over:

  • An alert on the phone of whoever is on call, not just an email in a shared inbox.
  • A clear owner. Assign the lead, and a User sees the leads assigned to them plus unassigned ones.
  • A status everyone can see, so two people don't both call the same customer.
  • Reminders that come to you. Each follow-up sends a push to the person assigned when it's due.
  • What it was worth. Mark a lead Won with the job value, and the Home screen shows won value and win rate over the time frame you choose.

Keep Jotform's notification email if you like a copy in your inbox. For older submissions, download them from Jotform, save the file as a CSV, upload it in the LeadCentre portal and match its columns. The rows become leads.

For agencies managing client enquiries

If you build Jotform forms for clients, send each client's submissions to that client's own LeadCentre account. Every client account has its own webhook keys, so each client gets its own Zap or scenario, pointed at its own URL, even when all the forms sit in one Jotform account.

  • What clients see: their own leads, pipeline and figures, in their own account on the app or portal.
  • Who gets alerted: the client's people switched on for New lead alerts on its Team page, chosen per person. The push doesn't go to agency staff.
  • Who can reach what: Agency Admins can open any client with Manage and choose which features each client's people can use, including Connections. Agency Users see and manage only the clients assigned to them.
  • Repeating the setup: a snapshot carries a client's custom fields, templates and webhook keys, with their field matching, to a new client. Open each copied key and press "Get a URL to copy" for the new client's URL, then copy the Zap and paste it in.

Cross-client reporting, on both agency plans, shows leads, won jobs, win rate and won value client by client. More on agency accounts.

Common problems

I pasted my LeadCentre URL into Jotform's Webhooks integration and nothing arrives

Jotform's webhook sends multipart form data, which LeadCentre refuses with a 415 before it's logged, so nothing shows under Recent activity. Remove the URL from Jotform's Webhooks integration and connect the form through a Zap or scenario, as in the steps above.

My Jotform account won't connect in Zapier

If your forms are on a branded domain, such as yourcompany.jotform.com, or you sign in as a sub-user, Zapier's guide says to use its Jotform Enterprise app. Start the Zap again with that app as the trigger.

Make can't create the webhook

Make's Jotform guide says webhook creation needs an API key with Full Access. In Jotform, open Settings, then API, create a key with Full Access, and update the connection in Make.

Submissions stopped reaching LeadCentre partway through the day

Zapier's guide says Jotform sets daily API limits by plan, which reset at midnight Eastern Time and can make integrations fail when exceeded. Check Zap history, replay the failed runs once the limit resets, and look at your Jotform plan if it keeps happening.

The Zap ran and Recent activity says "Waiting for field matching"

The Zap went live before anything was matched on that key, so LeadCentre is holding the submission. Press "Save field matching" and it becomes a lead, with a banner saying how many were added. The alert goes out at that point.

Posts show "No name, phone or email" under Recent activity

None of your matched fields held a name, phone or email, which often follows a renamed field or a new Data row. Match the new name and save, and LeadCentre retries those posts.

Questions about this connection

How do I get Jotform submissions into LeadCentre?

Build a Zap with Jotform's New Submission trigger, or a Make scenario with Watch for Submissions, and post each submission to your LeadCentre webhook URL as JSON. Match the fields once, and every submission after that becomes a lead.

Can I get a phone alert for each Jotform submission?

Yes. Each submission that becomes a lead sends a push notification through the LeadCentre app, on iPhone or Android, to the people switched on for New lead alerts. Tap it and the lead opens with the Call button ready.

Why not use Jotform's own webhook?

Jotform's webhook sends multipart form data, and your LeadCentre URL takes JSON or URL-encoded posts. A Zap or scenario collects each submission and posts it as JSON, with names you choose.

Do I need a paid Zapier plan?

For Zapier, yes: Webhooks by Zapier is on Professional, Team and Enterprise. Make has a free plan to start on. Jotform's side works on the free Starter plan or any paid plan.

Can LeadCentre text the person back automatically?

Yes, with the Respond add-on, which sends an automatic SMS reply from your dedicated UK business number. On every plan, Instant Replies can send an automatic email.

Can an agency connect several clients' Jotform forms?

Yes. Give each client its own Zap or scenario, posting to that client's own LeadCentre URL. Each client's leads, alerts and figures stay in its own account.

Connect your lead sources

Set up your LeadCentre account and connect this source, and your next enquiry can arrive on your phone.
