Manage Typeform Responses as Leads in LeadCentre
LeadCentre works with Typeform through Zapier or Make. A Zap using Typeform's New Entry trigger, or a Make scenario using Watch Responses, collects each completed response and posts the answers you choose to your LeadCentre webhook URL. Each response then becomes a lead, with a push notification to your team and Call, Text, WhatsApp and Email buttons on the lead.
Via Zapier/Make: Connect it through a Zapier or Make account of your own.
- Each typeform response becomes a lead with an alert on your phone, as well as a row in Typeform's results
- Answers land in the same named fields every time, even when people skip optional questions or follow a Logic Jump
- Statuses, follow-up reminders and won values on every response that turns into an enquiry
What this does
Typeform collects the answers. A Zap or Make scenario passes each completed response to your LeadCentre webhook URL, with every answer under a name you chose, and LeadCentre turns it into a lead using the matching you saved. From then on it's a lead like any other: assigned, called, followed up and marked Won or Lost.
Say a kitchen fitter uses a typeform as a quote questionnaire: type of kitchen, budget and timescale, then name, phone and postcode. A Logic Jump skips the budget question for anyone who picks "Just looking". Every finished response still lands in the same LeadCentre fields, and the fitter's phone shows the new lead with the service and postcode.
Why a Zap or scenario, rather than Typeform's own webhook
Typeform can send its own webhook, as JSON. Typeform's payload guide says its answers list holds only answered questions, so a question someone skips, or a Logic Jump passes over, isn't in it. LeadCentre turns a list into numbered names, such as form_response.answers.2.text, so a skipped question moves every later answer to a different number. In a Zap or scenario you pick each answer by its question and give it a name, so it fills the same field every time.
What happens when someone completes your typeform?
Step 1
Someone submits your typeform
On your website, in a link or in an email. Typeform saves the response in your results.
Step 2
The Zap or scenario runs
Typeform's New Entry trigger in Zapier, or Watch Responses in Make, picks the response up.
Step 3
Named answers are posted
Webhooks by Zapier or Make's HTTP module sends each answer under your chosen name to your LeadCentre URL.
Step 4
The lead and the alert
LeadCentre fills in the lead from your saved matching and sends a push notification to the people switched on for New lead alerts.
Step 5
Your team takes it from there
Call, text or email from the lead, set its status and add follow-ups. An Instant Reply or Respond's automatic text can go to the person automatically.
What you can do with Typeform leads
A response in Typeform is a record. In LeadCentre it becomes something to act on.
On every plan
- Alerts for your team. A push notification in the LeadCentre app, on iPhone or Android, to the people switched on for New lead alerts on the Team page.
- Contact buttons. Call, Text, WhatsApp and Email on each lead. The message buttons open your templates, with {first_name} and {service} filled in from the response.
- Statuses and values. New, Contacted, Quoted, Booked, Won and Lost, with the job value recorded when you mark it Won.
- Follow-ups. Several per lead if you need them, each with a date, time and optional note, and a reminder when due.
- Custom fields for answers that don't fit a standard field, such as budget band or timescale.
- Instant Replies. An automatic email to the person who filled in the typeform, worded differently during and outside business hours. One address gets at most one reply per account per day.
With the Respond add-on
- Automatic SMS replies to new leads from your dedicated UK business number.
- Two-way SMS in the app's Messages tab, and calls to that number forwarded to your phone.
- Lead Rescue, sending automated follow-ups to leads still at New or Contacted who haven't replied. It stops once a lead moves on.
- AI lead conversations, which you switch on: Assist drafts replies for you, and Autopilot replies itself from your Knowledge Base and hands over anything it can't answer.
Two different things happen when a response arrives. Your team gets the push notification. The person who answered the typeform gets the Instant Reply email or, with Respond, the automatic SMS.
How to connect Typeform to LeadCentre
Before you start:
- Typeform: any Typeform plan, free or paid, and a published form, as Zapier's Typeform guide asks. Zapier's guide also says forms in a shared workspace only show in its list for the owner, and others can enter the form ID as a custom value.
- Zapier: a plan that includes Webhooks by Zapier. Zapier's webhooks guide lists Professional, Team and Enterprise.
- Or Make: Make's Typeform app connects with your Typeform login and asks for your account's region. Make has a free plan measured in credits.
- LeadCentre: a login with the Admin role on the account the leads belong to.
The steps use Zapier, and the last one covers Make.
- 1
Create a key in LeadCentre
In LeadCentre, go to Settings > Connections. Under "Add another key", type a name such as Typeform quote form and press "Create". Press "Copy" before you leave the screen, because the URL won't be shown again. The key's name becomes the lead's source unless the Zap sends lead_source.
- 2
Start a Zap with Typeform
In Zapier, create a Zap with Typeform as the trigger app and New Entry as the event. Connect your Typeform account, choose the form and test the trigger to load a sample response. Zapier's guide notes that connecting Typeform to another app submits a test response, which you'll see in the form's results.
- 3
Add the POST step
Add an action and choose Webhooks by Zapier with POST as the event. Set Payload Type to JSON and paste your LeadCentre URL into URL, whole. Leave any File option empty, and send a link in place of any uploaded file.
- 4
Name each answer in Data
Add a Data row for each answer you want: a name on the left, such as phone, and that question's answer from the sample on the right. Add your hidden fields too, if the typeform has any, such as utm_source. Avoid double underscores in names, as Zapier uses them to build nested objects.
- 5
Listen, then test the step
In LeadCentre, follow "Next: test and match fields" and press "Listen for test data", which runs for 15 minutes. Back in Zapier, test the POST step. The response should show ok as true and results as test, and the fields appear under "2. Match the fields" a few seconds later.
- 6
Save the field matching
Smart Match will have suggested matches for the names it recognises. Change any that look wrong, type a custom field name for answers such as timescale, leave the rest on Do not use, and press "Save field matching".
- 7
Stop listening and publish
Press "Stop listening" first, as a real response sent while the key is listening counts as test data. Publish the Zap, fill in your typeform once yourself with every question answered, and check the lead reaches your Leads list.
- 8
If you use Make
Start a scenario with the Typeform app's Watch Responses module (Make also lists an instant version), connect your account and choose the form. Add the HTTP app's Make a request module, with your URL, Method set to POST, the body content type set to application/JSON and Body input method set to Data structure, and enter the same names. Listen in LeadCentre, press Run once and submit the typeform, then match the fields, stop listening and switch the scenario on.
What form data can you send?
You decide the names, and pick each value from the Typeform sample by its question. Smart Match recognises the names below, so most of them match themselves.
What needs matching by hand: questions with no standard field, such as timescale or type of kitchen. Pick a field for each on the matching screen, or type a new custom field name there. A budget question that asks for a plain number can go to estimated_value, which LeadCentre reads as an amount in your account's currency.
Typeform passes hidden field values with each response, as its payload guide shows. Send them under exact names such as utm_source, utm_medium, utm_campaign or gclid, and LeadCentre keeps them on the lead without matching, under Attribution Details in the portal. Only send click IDs if you have consent to. If the sample includes Typeform's response ID, which Typeform also calls the token, send it as id and match it to Unique ID.
| Field sent | Usually matched to |
|---|---|
| name, or first_name and last_name | Full name, or First name and Last name |
| phone | Phone (mobile or landline) |
| postcode | Postcode |
| service (a multiple choice question) | Enquiry type |
| message (a long text question) | Enquiry / Message |
| estimated_value (a number question for budget) | Estimated value |
| timescale, or any other question | A custom field |
| utm_source, utm_campaign, gclid (hidden fields) | Kept automatically |
| submitted_at | Date received |
| id (Typeform's response ID, or token) | Unique ID (stops duplicates) |
Managing responses beyond Typeform's results
Typeform keeps every response in the form's results, where you can read and download them, and it can send you an email when a new one comes in. For a survey, that's enough. For an enquiry, someone has to pick up the phone, and that's the part LeadCentre is for:
- It reaches the person who'll act. The push notification goes to the people switched on for New lead alerts, who may not have a Typeform login at all.
- It has a status. Your team can see at a glance which responses have been contacted, quoted or booked.
- It gets followed up. A follow-up reminder goes to the person assigned when it's due, so a quote request doesn't sit in an inbox.
- It shows what it was worth. Mark a lead Won with the job value, and the Home screen shows won value and win rate over the time frame you choose.
- It sits with your other leads. Typeform responses, website forms and ad leads share one list.
Keep Typeform's email if you like a copy in your inbox. For responses from before the Zap was on, download them from Typeform as a CSV file, upload it in the LeadCentre portal and match its columns. The rows become leads.
For agencies managing client enquiries
If you build typeforms for clients, send each client's responses to that client's own LeadCentre account. Every client account has its own webhook keys, so give each client its own Zap or scenario, pointed at that client's URL. One Typeform account can feed several clients this way, with one Zap per form.
- Clients see only their responses. Each client signs in to its own account and sees its own leads, pipeline and figures.
- Alerts go to the client's team. The push goes to the client's people switched on for New lead alerts on its Team page, chosen person by person, rather than to agency staff.
- Separate data and roles. An Agency Admin can open any client with Manage and control which features its people use, such as Instant Replies and Connections. Agency Users see and manage only the clients assigned to them.
- Faster setup. A snapshot carries one client's custom fields, templates and webhook keys, with their field matching, to the next client. The new client's keys get URLs of their own: open each key, press "Get a URL to copy" and paste it into that client's Zap.

Common problems
My typeform isn't in Zapier's list
Zapier's guide says forms in a shared workspace only appear for the workspace owner. Ask the owner to build the Zap, or enter the form ID as a custom value. The form ID is in the form's URL.
A test response has appeared in my Typeform results
Zapier's guide says connecting Typeform to another app submits a test response. You can delete it in Typeform if you'd rather not keep it. It only reaches LeadCentre if you test the POST step, and while the key is listening that counts as test data.
I added a question and its answer isn't reaching LeadCentre
Your Data rows only send what you named. Retest the trigger so the new question is in the sample, add a row for it, then test the POST step while LeadCentre is listening and match the new field. Your earlier matching stays.
Some leads have empty fields
Those people skipped an optional question, and an empty answer isn't sent. If Recent activity shows "No name, phone or email", the response had no contact details LeadCentre could use, so make your contact questions required in Typeform.
The POST step ran but LeadCentre shows nothing
Read the response in Zapier. A 401 means the URL is incomplete or has been replaced, a 415 means something is in a File option, and a 200 means it arrived, so check you have the right key's page open and that listening hadn't run out.
Recent activity says "Waiting for field matching"
The Zap went live before anything was matched on that key, so LeadCentre is holding the response. Save your matching and it joins your inbox, with a banner saying how many were added. The alert only goes out then.
Questions about this connection
How do I get Typeform responses into LeadCentre?
Build a Zap with Typeform's New Entry trigger, or a Make scenario with Watch Responses, and post each response to your LeadCentre webhook URL with a name for each answer. Match the fields once, and every response after that arrives as a lead.
Can I get an alert on my phone for each new Typeform response?
Yes. Each response that becomes a lead sends a push notification through the LeadCentre app, on iPhone or Android, to the people switched on for New lead alerts. Tap it and the lead opens.
Why not use Typeform's own webhook?
Typeform's webhook lists only the questions someone answered, so on a form with optional questions or Logic Jumps the same answer can arrive in a different position. Naming each answer in a Zap or scenario keeps it in the same field every time.
Do I need a paid Zapier plan?
For Zapier, yes: Webhooks by Zapier is on Professional, Team and Enterprise. Make has a free plan to start on. Typeform's side works on any Typeform plan.
Can LeadCentre reply to the person automatically?
Yes. Instant Replies, on every plan, sends an automatic email to each new lead. With the Respond add-on, an automatic SMS reply goes from your dedicated UK business number, and Lead Rescue can follow up leads still at New or Contacted who haven't replied.
Can an agency send several clients' typeforms to their own accounts?
Yes. Give each client its own Zap or scenario, posting to that client's own LeadCentre URL. Each client's leads, alerts and figures stay in its own account.
