Manage TikTok Lead Form Leads in LeadCentre

LeadCentre works with TikTok Lead Generation through Zapier or Make. A Zap or scenario collects each new TikTok instant form lead and posts it to your LeadCentre webhook URL. The lead then appears in your Leads list, a push notification goes to your team's phones, and you can call, text or WhatsApp the person from the lead itself.

Via Zapier/Make: Connect it through a Zapier or Make account of your own.

  • A push notification on your phone for each TikTok lead, showing the enquiry type, name and postcode
  • Call, Text, WhatsApp and Email buttons on every lead, opening your own pre-written messages
  • Statuses, follow-up reminders and won job values for TikTok leads, in the same list as your other sources

What this does

TikTok holds instant form leads in your ad account until something collects them. Here, that's a Zap built on Zapier's TikTok Lead Generation app, or a Make scenario built on its TikTok Lead Forms app. Each new lead goes through a POST step to your LeadCentre webhook URL, LeadCentre fills in the fields from the matching you saved, and the lead joins your Leads list.

Say a roofer runs TikTok ads for roof repairs in the evening, when homeowners are scrolling. A form sent at 9pm puts an alert on the roofer's phone with the name, postcode and the start of the message, rather than waiting in Ads Manager until morning. The lead has a Call button, and a follow-up for the next day can be set from the same screen.

Which route to pick

  • Zapier: TikTok Lead Generation with the New Lead trigger, which Zapier lists as instant. The POST step uses Webhooks by Zapier, a paid Zapier feature.
  • Make: TikTok Lead Forms with the Watch Leads trigger, then the HTTP app's Make a request module. Make has a free plan measured in credits. Its TikTok connection uses a Client ID and Client Secret from an app you create in TikTok's developer portal.

Either way, you match the fields once per key in LeadCentre, and every lead after that arrives filled in.

What happens when someone fills in your TikTok form?

  1. Step 1

    Someone submits your instant form

They tap your TikTok ad and send the form. TikTok saves the lead in your ad account.

  2. Step 2

    Zapier or Make collects it

Your Zap's New Lead trigger, or your scenario's Watch Leads module, picks the lead up and posts your chosen fields to your LeadCentre URL.

  3. Step 3

    LeadCentre creates the lead

In the account that owns the URL. The key's saved matching fills in each field, and the key's name, such as TikTok ads, shows as the source.

  4. Step 4

Your team's phones get the alert

A push notification goes to the people switched on for New lead alerts. Any Instant Reply email, or Respond's automatic text, goes to the person who sent the form.

  5. Step 5

You make contact and follow up

Open the lead, tap Call, Text, WhatsApp or Email, update its status and set a follow-up if you don't get through.

What you can do with TikTok leads

A TikTok lead works like any other lead in LeadCentre once it arrives.

On every plan

  • Get told. A push notification in the LeadCentre app, on iPhone or Android, for each new lead. It goes to the people switched on for New lead alerts on the Team page, and anyone switched on can still turn alerts off on their own phone.
  • Make contact in one tap. Call, Text, WhatsApp and Email buttons on the lead. Text, WhatsApp and email open a message from your templates, with placeholders such as {first_name} and {service} filled in, and it goes from your own phone or email account. In the app, tapping one on a New lead moves it to Contacted.
  • Track where it stands. Statuses run New, Contacted, Quoted, Booked, Won and Lost. Marking Won asks what the job was worth, and marking Lost can record a reason.
  • Follow up on time. Add follow-ups with a date, time and note, and the person assigned gets a reminder when one is due.
  • Share the work. Assign leads to people on your team, file them in folders and archive the ones you've finished with.
  • Reply by email automatically. Instant Replies sends a new lead an email, with separate wording during and outside business hours. One address gets at most one reply per account per day.

With the Respond add-on

  • Reply by text automatically. An SMS reply goes to the new lead from your dedicated UK business number.
  • Keep the conversation going. Two-way SMS in the app's Messages tab, and calls to your number forwarded to your phone.
  • Follow up the quiet ones. Lead Rescue sends automated follow-ups to leads still at New or Contacted who haven't replied, and stops once a lead moves on.
  • Let AI help. AI lead conversations stay off until you switch them on. Assist drafts a reply for you to send, and Autopilot replies by itself from your Knowledge Base, passing anything it can't answer to a person.

The push notification is for your team. Instant Replies and Respond's automatic SMS go to the person who filled in the TikTok form. See Respond on the pricing page.

How to connect TikTok to LeadCentre

Have these ready before you start:

The steps use Zapier, with the Make version in the last step.

  1. 1

    Create a key in LeadCentre

In LeadCentre, go to Settings > Connections. Under "Add another key", type a name such as TikTok ads and press "Create". Press "Copy" and keep the URL somewhere safe, as it won't be shown again. The key's name becomes the lead's source unless the Zap sends lead_source.

  2. 2

Start a Zap with TikTok Lead Generation

In Zapier, create a Zap with TikTok Lead Generation as the trigger app and New Lead as the event. Sign in to TikTok and grant Zapier access when asked, choose your account and the Instant Form, then test the trigger, which gives you a sample lead to map from. TikTok's guide also lets you start in Ads Manager, from Tools, then Leads Center, then Connect CRM.

  3. 3

    Add the POST step

Add an action and choose Webhooks by Zapier with POST as the event. Set Payload Type to JSON and paste your LeadCentre URL into URL, whole, including the ?key= part. Leave any File option empty, as LeadCentre takes text fields.

  4. 4

    Fill in Data

Add one row per field: a name on the left, and the answer from the TikTok sample on the right. Use the names in the table further down, as those are the ones Smart Match recognises. Avoid double underscores in names, as Zapier uses them to build nested objects.

  5. 5

    Listen, then test the step

In LeadCentre, follow "Next: test and match fields" and press "Listen for test data", which runs for 15 minutes. Back in Zapier, test the POST step. The response should show ok as true and results as test, and the fields appear under "2. Match the fields" a few seconds later.

  6. 6

    Match the fields

Smart Match suggests a LeadCentre field for the names it recognises. Confirm each one, pick a field or type a new custom field name for the rest, and leave anything you don't want on Do not use. Then press "Save field matching".

  7. 7

    Stop listening and publish

Press "Stop listening", because anything sent while listening counts as test data, including a real lead. Publish the Zap, then check the next TikTok lead reaches your Leads list and the alert reaches your phone.

  8. 8

    If you use Make

Start a scenario with the TikTok Lead Forms app's Watch Leads module. Create the webhook when asked, then the connection with your Client ID and Client Secret, and choose your account and Instant Form. Add the HTTP app's Make a request module: paste your URL, set Method to POST, the body content type to application/JSON and Body input method to Data structure, and add the same field names. To match from real data, switch the scenario on without listening: the first real lead is held as "Waiting for field matching", you match from its answers, and saving turns it into a lead. Nobody is alerted until you save, so keep an eye out.

What form data can you send?

You choose these names in Zapier's Data section, or Make's request body, and pick each value from the TikTok sample. TikTok's question guide lists what an Instant Form can ask: a name, or first and last name, phone number, email, address details such as city and postal code, work details, and custom questions such as Short Answer and Multiple Choice.

Smart Match recognises the names in the table. Anything else, such as a second Multiple Choice question, needs matching by hand: pick a LeadCentre field for it on the matching screen, or type a new custom field name there.

If the sample includes TikTok's ID for the lead, send it as id and match it to Unique ID, so a replayed run can't create a second lead. If it includes campaign or ad details, send them as campaign_name, campaign_id, ad_name or ad_id, and LeadCentre keeps them on the lead without matching. They show under Attribution Details in the portal.

Managing leads beyond TikTok's Leads Center

TikTok's Leads Center does a fair amount on its own. TikTok's guide says it lets you change a lead's status, add labels and notes, assign leads, filter and search, and download leads as an XLSX or CSV file. Only Admin members can access leads there, and TikTok says Ads Manager stores lead data for 90 days.

LeadCentre covers what happens once you're away from Ads Manager:

  • Alerts on the phone. The people switched on for New lead alerts hear about each lead without logging in anywhere.
  • People without Ads Manager access. A fitter or office manager can work TikTok leads in the app with their own LeadCentre login.
  • Contact in one tap. Call, Text, WhatsApp and Email buttons, with your own templates for during and outside business hours.
  • Reminders. Follow-ups with a date and time send a push to the person assigned when they're due.
  • Won values. Mark a lead Won and record what the job was worth. The Home screen shows leads, won jobs, win rate and won value over the time frame you choose.
  • One list. TikTok leads sit beside your website, Facebook and Google leads, so nobody has to check several places.

Leads from before you connected can come across too. Download them from Leads Center as a CSV file, upload it in the LeadCentre portal and match its columns to LeadCentre fields, with Smart Match suggesting them. The rows become leads.

For agencies managing client enquiries

Each client's TikTok leads belong in that client's own LeadCentre account. Every client account has its own webhook keys, so build one Zap or scenario per client: its trigger connected to that client's TikTok ad account, and its POST step pointed at that client's URL. Name each Zap after its client, which makes ten of them easy to tell apart.

  • Clients see their own leads. The client's people sign in to the app or portal and see only their account's leads, pipeline and figures.
  • Alerts reach the client's team. The new lead push goes to the people switched on for New lead alerts on that client's Team page, chosen per person. It doesn't go to agency staff.
  • Data and permissions stay separate. An Agency Admin can open any client with Manage and choose which features the client's own people can use, including Connections, so nobody at the client replaces a key by mistake. Agency Users see and manage only the clients assigned to them.
  • Setup repeats quickly. A snapshot carries one client's setup to the next, including its webhook keys and their field matching. The new client's keys get URLs of their own: open the TikTok key, press "Get a URL to copy", then copy the Zap and paste that URL into its POST step.
  • Reporting. Cross-client reporting, on both agency plans, shows leads, won jobs, win rate and won value client by client.

Respond is switched on per client, and the client sees no price or bill. More on agency accounts.

Pricing and requirements

What you need for this connection. Prices for each plan and the Respond add-on are on the pricing page.

LeadCentre plan

Any plan. An Admin login creates the key and matches the fields.

Respond add-on

Optional. Adds a dedicated UK business number, automatic SMS replies to new leads, two-way SMS, call forwarding, Lead Rescue and AI lead conversations. See Respond.

TikTok Ads Manager

Admin access on the ad account and at least one Instant Form. Leads Center in TikTok also needs Admin access.

Zapier or Make

Zapier on Professional, Team or Enterprise, as Webhooks by Zapier is a paid feature. Or Make, which has a free plan measured in credits, with a Client ID and Client Secret from TikTok's developer portal for its TikTok Lead Forms app.

Messaging usage

Respond includes monthly allowances for SMS, forwarded call minutes and AI conversations, shown on the pricing page. When one runs out, you're told and can buy credits for extra usage. Incoming enquiries are still saved.

Common problems

My Instant Form doesn't appear in the Zapier trigger

Zapier's guide asks for admin access on the TikTok Ads Manager account and at least one Instant Form. Check your role in Ads Manager, reconnect TikTok Lead Generation in Zapier and look again. If you can reach several accounts, check you've chosen the one that owns the form.

I made a new Instant Form and its leads aren't arriving

TikTok's guide says to change a published form's questions by creating a new form and attaching it to each ad, and your Zap still watches the old one. Choose the new form in the trigger and retest it, add any new questions to Data, then test the POST step while LeadCentre is listening and match the new fields.

The POST step ran but LeadCentre shows nothing

Read the response in Zapier. A 200 means it arrived, so check you have the right key's page open and that listening hadn't run out. A 415 means the step sent multipart, so look for something in a File option. If there's no response at all, you may have tested only the trigger, which doesn't reach LeadCentre.

Zapier shows a 401 error

The key is missing or out of date. Check the URL still has ?key= and everything after it, and that the URL hasn't been replaced since you copied it. If it has, paste the new one into the POST step and publish.

Recent activity says "Waiting for field matching"

The Zap went live before anything was matched on that key, so LeadCentre is holding the lead. Save your matching and it joins your inbox, along with any others waiting, and a banner gives the count. The alert goes out at that point, so ring that person first.

A real lead didn't arrive and the run shows test in the response

The key was listening, so that lead counted as test data and won't become a lead. Press "Stop listening", find the person in TikTok's Leads Center to contact them, and replay the run from Zap history if Zapier offers that for it.

Questions about this connection

How do I get TikTok leads into LeadCentre?

Connect TikTok Lead Generation to Zapier, or TikTok Lead Forms to Make, and add a step that posts each lead to your LeadCentre webhook URL. Match the fields once in LeadCentre, and every new lead after that arrives in your Leads list.

Can I get an alert on my phone when someone fills in my TikTok form?

Yes. Each new lead sends a push notification through the LeadCentre app, on iPhone or Android, to the people switched on for New lead alerts. Tap it and the lead opens with the Call button ready.

Do I need a paid Zapier plan?

Yes, for the POST step. Webhooks by Zapier is on Zapier's Professional, Team and Enterprise plans. Make has a free plan to start on, and its TikTok connection uses credentials from TikTok's developer portal.

Can LeadCentre text TikTok leads back automatically?

Yes, with the Respond add-on. A new lead gets an automatic SMS reply from your dedicated UK business number, and Lead Rescue can follow up leads still at New or Contacted who haven't replied. On every plan, Instant Replies can send an automatic email.

Can I bring in TikTok leads from before I connected?

Yes. Download them from TikTok's Leads Center as a CSV file, then upload it in the LeadCentre portal and match its columns. TikTok says Ads Manager stores lead data for 90 days, so do it within that time.

Can an agency connect several clients' TikTok ad accounts?

Yes. Build one Zap or scenario per client, each connected to that client's ad account and posting to that client's own LeadCentre URL. Each client's leads, alerts and figures stay in its own account.

Connect your lead sources

Set up your LeadCentre account and connect this source, and your next enquiry can arrive on your phone.
